Privacy Policy

HouseHub (“HouseHub”, “we”, “us”, or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you use the HouseHub website, applications, and services (together, the “Platform”). We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws. By using the Platform, you agree to this Privacy Policy. This Policy is part of, and incorporated into, our Terms of Service.

1. Our Privacy Officer

We have appointed a Privacy Officer who is responsible for our compliance with this Policy and applicable privacy laws. You can reach our Privacy Officer at privacy@househub.ca (see Contact below).

2. What Is Personal Information

“Personal information” means information about an identifiable individual. It does not include business contact information used solely to contact you at work, or information that has been anonymized or aggregated so that it can no longer be associated with you. This Policy applies only to personal information.

3. Your Consent

We collect, use, and disclose your personal information with your consent, which may be express or implied depending on the sensitivity of the information and the circumstances. By providing information to use the Platform, you consent to our handling of it as described in this Policy. For some purposes — such as sending you marketing messages — we will ask for your express consent. You may withdraw your consent at any time, subject to legal and contractual limits, by changing your settings, unsubscribing, or contacting our Privacy Officer; if you withdraw consent, we may be unable to provide some or all of the Platform.

4. Children

The Platform is not intended for minors. You must be the age of majority in your province or territory to create an account. We do not knowingly collect personal information from minors. If we learn that we have collected personal information from a minor, we will delete it.

5. Information We Collect

We collect the following types of personal information.

Information you provide to us.

  • Account and profile information — your name, display name, email address, phone number, profile photo, and preferred language.
  • Job Request information — descriptions, photos, and location details for the work you are seeking.
  • Professional business information — for Professionals, your business name, description, services, service areas, years in business, portfolio images, and details about your qualifications, licensing, certifications, and insurance.
  • Reviews and other content — ratings, reviews, photos, messages, and anything else you submit.
  • Communications — information you provide when you contact us for support or otherwise communicate with us.

Payment information (Professionals). If you purchase a paid subscription or boost, payment is processed by our payment processor, Stripe. We do not store full payment card numbers; we store limited references (such as a customer or subscription identifier, plan, and status) needed to manage your billing.

Information we collect automatically.

  • Location information — to show relevant Professionals, we determine your approximate location (city, province, postal area) from your device's network/IP address through our hosting provider, stored in a location cookie. You can override this by selecting a location, in which case we use the place you choose.
  • Device and usage information — IP address, browser and device type, operating system, pages viewed, referring pages, and similar technical data, collected through cookies and similar technologies (see our Cookie Policy).
  • Usage analytics (first-party) — using our own first-party analytics, we record which pages you view (in-app paths only, with no search terms) and basic visit and session patterns. We do this with a session cookie and a pseudonymous, randomly generated visitor identifier stored in your browser. This data is pseudonymous — it uses random identifiers, not your name or a device fingerprint — it relies on no third-party advertising or analytics trackers, it is not used for advertising or cross-site tracking, and it is not sold. When you are signed in, your visits may be associated with your account.

Information from third parties.

  • Sign-in providers — if you sign in with Google, Facebook, or X, we receive basic profile information (such as your name and email) from them, subject to their privacy policies.
  • Service providers — we may receive information from payment, analytics, and fraud-prevention providers.

6. How We Use Your Information

We use personal information to:

  • create and manage your account and verify your identity;
  • operate the Platform and connect Homeowners with Professionals, including showing your Job Request to matching Professionals and revealing a Professional's contact details to a Homeowner who chooses to view them;
  • power search and matching, including AI-based matching (see Section 7);
  • send you notifications and transactional messages by email, SMS, or web push (such as job matches, interest from a Professional, and account updates);
  • process subscriptions and boosts and manage billing for Professionals;
  • provide customer support and respond to your requests;
  • protect the Platform and our Users — detect, prevent, and investigate fraud, abuse, and security issues, and moderate content;
  • improve and develop the Platform, including through analytics;
  • send marketing communications where permitted (you can opt out at any time); and
  • comply with our legal obligations and enforce our agreements.

7. AI Search & Matching

To interpret your searches and Job Requests and match them to relevant services and Professionals, we send the text of your query or Job Request to third-party AI providers, including OpenAI, which generate embeddings and matching results on our behalf. We use these providers under agreements intended to protect your information, and your queries are not used to advertise to you. This processing may occur outside Canada (see International Transfers). Please avoid including sensitive personal information in free-text searches or Job Requests.

8. Cookies & Similar Technologies

We use cookies and similar technologies to keep you signed in, remember your location and preferences, secure the Platform, and understand how it is used through our own first-party, privacy-respecting analytics. We do not use advertising or cross-site tracking cookies. For details, including the specific cookies and storage we use and how to manage them, see our Cookie Policy.

9. How We Disclose Your Information

We do not sell your personal information. We disclose it only as described in this Policy:

  • With other Users, to make connections — for example, your public profile and reviews are visible to others; a Homeowner's Job Request and general location are shared with matching Professionals; and a Professional's contact details are revealed to a Homeowner who chooses to view them.
  • With service providers (processors) who perform services for us, such as hosting, payments, AI matching, maps, email, SMS, caching, and analytics (see Section 10).
  • For legal reasons — to comply with the law, a subpoena, court order, or government request, or to establish, exercise, or defend legal claims.
  • To protect safety and rights — where we believe disclosure is necessary to protect the safety, rights, or property of you, us, or others, or to investigate fraud or abuse.
  • In a business transfer — in connection with a merger, acquisition, financing, or sale of assets, your information may be transferred to the successor entity.
  • With your consent or at your direction.

10. Service Providers

We rely on trusted third-party service providers to operate the Platform. They are authorized to use your personal information only as needed to provide services to us. They include:

  • Supabase — database, authentication, and file storage;
  • Stripe — payment processing for Professional subscriptions and boosts;
  • OpenAI — AI-powered search and matching;
  • Mapbox — maps and location lookup;
  • Twilio — SMS notifications and phone verification;
  • Resend — transactional email delivery;
  • Upstash — caching and rate limiting;
  • Vercel — application hosting and approximate location detection; and
  • analytics and monitoring providers that help us keep the Platform reliable.

11. International Transfers

Some of our service providers store or process information in the United States or other countries outside Canada. As a result, your personal information may be subject to the laws of those countries and accessible to their courts, law enforcement, and authorities (for example, under U.S. law). We take reasonable steps, including contractual measures, to require our providers to protect your information at a level comparable to this Policy.

12. Security

We use reasonable physical, administrative, and technical safeguards to protect personal information, including encryption in transit and at rest and access controls. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. You also play a role: keep your account access secure, review your account for unexpected activity, and sign out on shared devices.

13. Retention

We keep personal information only as long as needed for the purposes described in this Policy and to meet legal, accounting, and dispute-resolution requirements. When information is no longer needed, we delete it or anonymize it. Note that public content such as reviews may remain on the Platform after you close your account, and we may retain certain information to comply with the law, prevent fraud, resolve disputes, and enforce our agreements.

14. Your Privacy Rights

Subject to applicable law, you have the right to:

  • access the personal information we hold about you;
  • request correction of inaccurate or incomplete information;
  • withdraw your consent or request deletion of your information (which may require us to close your account);
  • opt out of marketing communications at any time; and
  • ask questions or make a complaint about how we handle your information.

To exercise these rights, contact our Privacy Officer at privacy@househub.ca. We may need to verify your identity before responding. We will respond within the time required by law. Some information may be exempt from access or deletion (for example, where it would reveal another person's information or where we are required or permitted by law to retain it).

15. Public Information

Some information is public by design. Professional profiles, business details, portfolio images, and reviews are visible to anyone using the Platform and may be indexed by search engines. Please be thoughtful about what you include in public content.

16. Third-Party Links

The Platform may link to third-party websites and services that we do not control. This Policy does not apply to them; please review their privacy policies before providing personal information.

17. Changes to This Policy

We may update this Policy from time to time. If we make material changes, we will post the updated Policy and update the “Last updated” date and, where appropriate, notify you. Your continued use of the Platform after changes take effect means you accept the updated Policy.
